Payment Responsibility

Payment for therapeutic services is the responsibility of the client. This includes any portion not covered by insurance, third-party payers, or claim-based arrangements.

Session rates and payment options are outlined prior to scheduling. Questions regarding payment or billing are welcome in advance of services being provided.

Insurance and Out-of-Network Services

Arctic Dawn bills insurance as an out-of-network provider except where specific participation agreements apply.

Insurance reimbursement is not guaranteed. Coverage, allowable amounts, and payment timelines are determined by the insurance plan.

Arctic Dawn verifies benefits when possible; however, the client remains financially responsible for all services rendered.

Unpaid Insurance Balances

What if my insurance doesn’t cover services at Arctic Dawn?
If insurance denies, delays, or only partially pays a claim, the client is responsible for the unpaid balance. Documentation can be provided to support reimbursement requests.

For out-of-network services billed to insurance, Arctic Dawn will submit claims when applicable.

If payment is not received from the insurance carrier within 60 days of claim submission, the outstanding balance may be transferred to the client for payment. At that time, documentation may be provided to support client-submitted reimbursement.

Self-Pay Services

Self-pay options are always available and may be selected regardless of insurance status.

Self-pay sessions are not billed to insurance and are due at the time of service unless otherwise arranged.

Personal Injury and Workers’ Compensation Cases

Services related to personal injury or workers’ compensation claims require authorization as part of an active case. Billing procedures, documentation requirements, and payment timelines vary by claim and are coordinated on a case-by-case basis.

Clients remain responsible for payment if claims are denied, delayed, or not paid in full.

Documentation

All sessions at Arctic Dawn are documented clinically. Documentation supports continuity of care and may be used for insurance billing, reimbursement, or claim coordination when applicable.
