Arctic Dawn

Insurance, Billing & Financial Policies

Arctic Dawn Massage & Wellness provides therapeutic manual therapy and massage for both insurance-billed and self-pay clients. Billing policies are structured to support clarity, transparency, and informed decision-making.

Services are provided at our Midtown Anchorage clinic, with insurance billing available for eligible clients throughout Alaska.

Insurance Billing

Arctic Dawn submits insurance claims for therapeutic manual therapy services as an out-of-network provider, except where specific participation agreements apply.

We participate with Whole Health Living / TriWest Healthcare Alliance Community Care. All other insurance plans are billed on an out-of-network basis.

Coverage, allowable amounts, and payment decisions are determined by your individual insurance plan.

Clients are responsible for deductibles, coinsurance, and any services or balances not covered by insurance.

Referrals & Authorization

Some insurance plans require a physician referral or prior authorization for therapeutic services.

When required, referrals typically include:

• diagnosis code
• frequency and duration of care

If you are unsure what your plan requires, we can help guide you.

Out-of-Network Claims & Documentation

Arctic Dawn submits claims to insurance on behalf of clients when applicable.

Coverage determinations and payment amounts are determined by the insurance carrier.

When requested or required, documentation can be provided to support client-submitted claims.

Self-Pay Care

Self-pay options are available regardless of insurance status.

• Therapeutic sessions are billed in 15-minute units ($60/unit)
• Standard therapeutic rates apply
• Same-day self-pay rate: $160 per hour
• Packages may be available

Self-pay sessions are not billed to insurance.

Twilight Tune-In ($150 – 60 minutes) is a self-pay relaxation session and is not billable to insurance.

Personal Injury & Workers’ Compensation

Therapeutic manual therapy may be provided as part of an active personal injury or workers’ compensation claim when services are authorized.

Billing procedures, documentation requirements, and payment timelines vary by case and are determined by the claims administrator or insurer. These cases are coordinated individually.

Clients remain responsible for payment if claims are denied, delayed, or not paid in full.

Client Financial Responsibility

Payment for therapeutic services is the responsibility of the client. This includes any portion not covered by insurance, third-party payers, or claim-based arrangements.

Insurance reimbursement is not guaranteed. Arctic Dawn verifies benefits when possible; however, the client remains financially responsible for all services rendered.

If insurance denies, delays, or partially pays a claim, the client is responsible for the unpaid balance.

If payment is not received from the insurance carrier within 60 days of claim submission, the outstanding balance may be transferred to the client for payment. Documentation may be provided to support client-submitted reimbursement.

Payment Timing

Self-pay services are due at the time of service unless otherwise arranged.

Questions regarding billing or payment are welcome prior to scheduling.

Clear communication helps ensure expectations are aligned before care begins.

Documentation & Continuity of Care

All sessions at Arctic Dawn are documented clinically to support continuity of care.

Documentation may also support insurance billing, reimbursement, or claim coordination when applicable.

Questions About Billing

Questions regarding insurance billing, self-pay options, documentation, or claim-based care are welcome prior to scheduling.

Scheduling services indicates acknowledgment and acceptance of these policies.

Scope of Care

Massage and manual therapy services at Arctic Dawn are provided by a licensed massage therapist in the State of Alaska and may be incorporated into medical treatment plans when prescribed or authorized by a healthcare provider.
